New Office Workflow Tools in 2024

Now in 2024 the digitalization has again changed, 14 years after my first contact with Evernote and cloud storage, while my colleagues in the office (in Germany & Austria) were just smiling. Because tools are not so relevant and never change a running system and the workflows if they work, especially on Microsoft Office. :-p #lol

Now, in 2024 I kicked again many tools and databases, I was used to using them for over 12 years, to redesign a new, smarter and easier workflow in HR business and also for my clients, working with me in global Headhunting.

So after the times of 20 Apps and MS Office 365, it’s now the time of just a few, smart all-in-one-place systems.

Here you can find now a list of tools I like to work with now, to make my life easier so that I can handle more projects for my clients alone at BREADHUNTER Group.

So which tools are still in my workflow and useful today?

  1. EVERNOTE for my personal notes and docs I want easy to find.
  2. NOTION, the heart of my business for meetings notes, candidate info, sales info, to-do's and timelines. You can do everything there in 1 system and link all topics together.
  3. CRAFT, only for client presentations, status reports and documents I share with my clients via a secure link and password. A platform for my clients to have everything in 1 place, that belongs to a project, instead of 89 emails.
  4. Tresorit Swiss-based cloud for highly sensitive and confidential projects that should be encrypted.
  5. Then I use 1 CRM (STREAK/OnePage CRM) and 1 ATS to manage my sales cycle and all the applicants.
  6. 1 Video platform for recorded video interviews with candidates, to speed up the interviews and put some pepper on the resumes by the videos for my clients, than just submitting resumes & old school candidate reports to them, they will never read.
  7. MINDMEISTER for some brainstorming is still great, but also LATTICS is a great tool, I use for Mindmaps, but also more as an writing app for my personal stories and books.
  8. TO DO IST, is still in use, just for quick notes when I am on the go, and from there I put them to NOTION or MINDMEISTER or CRAFT or EVERNOTE, when I do project management.
  9. Social Media parsing tools to get candidates and sales prospects fast to my database by one click from LinkedIn.

And which tools I have kicked out?

  1. Office 365, especially PowerPoint, excel and word
  2. Salesforce & Pipedrive
  3. The ZOHO office tools
  4. Asana Projects
  5. Written candidate reports because personal talks with clients & the candidates are better than writing a report that no one will read, but pretend in the video call, they did.:-p

Finally, it’s important to lead the client smart through a project so that they just see the pearls on the surface that matter. On the other hand, it’s significant to reduce your amount of work during the project with too many tools and databases.

Especially in headhunting there could be 80 to 150 working hours for 1 project, and if you can save up to 40% by a smart workflow, the client & you are the winner. There are too many recruiting slaves still out there, who do the main work, but get peanuts from their bosses.

I think in the Headhunting and Executive Search industry, there are still many myths that are used to justify a high project fee. Even if 50% of it goes to the marketing overhead and fancy offices of my colleagues worldwide.
So, imagine, if you spend 30 k € or more for a search I think just 5 k € go to the project and the rest to office costs, marketing, and the brand.
